The Academic Records Integration LTI is used for entering roster and midterm verification statuses, as well as quarter grade, midterm grade, and final grade values in Blackboard. Below are the guides for entering each in both Blackboard Original and Blackboard Ultra courses.

Roster Verification
Roster Verification aims to confirm that all students have attended or completed an educational activity at least once and to withdraw students from the class who have not attended/participated. It is understood that some classes may have only met once or had only 1 educational activity during this period.
NOTE: An e-mail will be sent when it is time to enter your roster verification. If you teach multiple classes, the verification e-mail may be sent on different days. Do not enter verification information before this time or it will not be accepted.
Roster Verification Blackboard Original
Roster verifications are submitted within Blackboard using the Academic Records Integration LTI tool.
To access the Academic Records Integration LTI tool, enter your course section:
- Under Course Management, select Course Tools
- Select the Academic Records Integration LTI tool from the list of available tools.
- Navigate to the Roster Ver. (Y-N) Grades tab of the tool
- The cells will auto-populate with values that must be cleared out before your verifications can be entered. To clear out these values, click the Clear icon (shaped like a small broom) in the top right corner of the tool (under the LAST ATTEN header).

Verifying Enrollment in Your Class
Face-to-Face: Has each student attended at least once?
Online (NET): Has each student completed at least one educational activity?
Hybrid/VCM: Has each student either attended or completed an educational activity at least once?- For Enrolled Students, enter a verification status in answer to the above questions
- Y = Yes
- N = No
- For Dropped Students:
- Do not enter a status for dropped students
- Complete the Last Attended Date field or check the Never Attended box.
- NOTE: A currently enrolled student will not be withdrawn from the course if you only check the Never Attended box. For a student to be withdrawn from the course, an N must be entered in the Roster Verification column.
- For Enrolled Students, enter a verification status in answer to the above questions
- Be sure to select Submit to submit the roster verification information. Selecting the Save Grades option will save the values you entered (if you are not ready to submit them), but it will NOT submit your verifications.
Once the user selects Submit, a green status bar will appear at the top of the tool, verifying that the roster information has been submitted.
Roster Verification Blackboard Ultra

- On the Content tab, navigate to the Details & Actions menu and select Books & Tools.
- Select the Academic Records Integration LTI tool from the list of available tools.

- The cells will auto-populate with values that must be cleared out before your verifications can be entered. To clear out these values, click the Clear icon (shaped like a small broom) in the top right corner of the tool (under the LAST ATTEN header).
- Dropped students appear as "Unavailable" in the tool, and neither verification statuses, nor grades, need to be entered for these students.

Verifying Enrollment in Your Class

Midterm Verification
After you receive the email letting you know it is time to enter your Midterm Verification, you can proceed to Blackboard to complete this process. Do not enter verification information before this time because it will not be saved.
The purpose of Midterm Enrollment Verification is to:
- Determine the funding that the College will be eligible to receive from the State of Illinois for the number of students in attendance at midterm.
- Notify students that are not attending/participating and need to take some form of action or to notify them that they have been officially withdrawn.
- Establish continued eligibility for financial aid funding for the semester.
Note: For Undergrad and Adult Education courses, Midterm Verifications must be entered before Final Grades can be entered. The Academic Records Integration tool will prevent you from entering Final Grades if Midterm Verifications have not been entered.
Midterm Verification Blackboard Original
Midterm verifications are entered within Blackboard using the Academic Records Integration LTI tool.

- For each currently registered student on your roster, enter a verification status, from the drop-down menu in the Midterm Ver. (Y-N-W) column, in answer to the following questions:
- Face-to-Face: Is each student regularly attending?
- Online: Is each student regularly completing educational activities?

Hybrid: Is each student regularly attending and/or completing educational activities?
- If Yes, Enter "Y"
- If No, Enter "N"
- If you wish to withdraw the student from your course, Enter "W"
- Dropped students appear as "Unavailable" in the tool

Quarter/Midterm Grades are entered and submitted within Blackboard course sections using the Academic Records Integration LTI tool.
To access the Academic Records Integration LTI tool, enter your course section:
- Under Course Management, select Course Tools
- Select the Academic Records Integration LTI tool from the list of available tools.
- Navigate to the Quarter Grade or Midterm Grade (whichever you are entering) tab of the tool.
- Enter the grade status for each student The following letter grades are valid entries when selected from the drop-down menu: A, B, C, D, F, S, U
- If you prefer not to issue an A, B, C, D, or F at the Quarter or Midterm, you can also issue S or U. S represents work in the A/B/C range, and U represents work in the D/F range. Please communicate with your students what these letters mean if you issue them.
- Do not enter grades for dropped students, leave those fields blank and, instead, complete the Last Attended Date field or check Never Attended (NOTE: Dropped students appear as "Unavailable" in the tool).
- Be sure to select Submit to submit the grade information. Selecting the Save Grades option will save the values you entered (if you are not ready to submit them), but it will NOT submit your grades.

Quarter/Midterm Grades Blackboard Ultra

- On the Content tab, navigate to the Details & Actions menu and select Books & Tools.
- Select the Academic Records Integration LTI tool from the list of available tools.
- Navigate to the Quarter Grade or Midterm Grade (whichever you are entering) tab of the tool.
- Enter the grade status for each student The following letter grades are valid entries when selected from the drop-down menu: A, B, C, D, F, S, U

Final Grades
When it’s time to enter final grades, it’s also a great time to go back and ensure that all midterm verification entries have been completed. For Undergrad and Adult Education courses, midterm verifications must be entered before Final Grades can be entered. The Academic Records Integration LTI tool will prevent you from entering Final Grades if Midterm Verifications have not been entered.
An e-mail will be sent when it is time to enter your final grades. The e-mail may be sent on different days if you teach multiple classes. A final grade can only be entered once for each student. Any final grade modifications must be made through the Office of Student Records by contacting gradesdept@cod.edu or 630-942-2440.
Final Grades Blackboard Original
Final grades are entered within Blackboard course sections using the Academic Records Integration LTI.
To access the Academic Records Integration LTI, enter your course section and:
- Under Course Management, select Course Tools
- Select the Academic Records Integration LTI from the list of available tools.
- Navigate to the Final Grades tab of the tool.
- Enter the final grade for each student accordingly. The following letter grades (selectable from the drop-down menu in each cell in the Final Grade column) will be accepted as valid entries when submitting final grades: A, B, C, D, F, I, X, S, U
- Students being issued an F grade, and those that have been withdrawn with a W grade must be assigned a Last Attended Date.
- I grades can only be issued to students who meet the minimum requirements for an incomplete, and have an Incomplete contract. An Expire Date and Last Attended Date must also be entered for incomplete grades.
- X grades can only be issued to students who are taking the course as an Audit.
- S grades can only be issued to students with a Satisfactory/Fail contract or to students enrolled in courses that must be graded as Satisfactory/Fail.
- Be sure to select Submit to submit the grade information. Selecting the Save Grades option will only save the values you entered (if you are not ready to submit them), but it will NOT submit your grades.
Once the user selects Submit, a green status bar will appear at the top of the tool, verifying that the roster information has been submitted.
Final Grades Blackboard Ultra
Final grades are entered within Blackboard course sections using the Academic Records Integration LTI.
To access the Academic Records Integration LTI, enter your course section and:
- On the Content tab, navigate to the Details & Actions menu and select Books & Tools.
- Select the Academic Records Integration LTI from the list of available tools.
- Navigate to the Final Grades tab of the tool.
